 Staff Portrait Photography Booking Policy

 

Thank you for booking a staff portrait photography session with us! We look forward to capturing professional and high-quality portraits for your team. Please review the following policy carefully to ensure a smooth and efficient experience.

 

Booking and Payment Terms

 

1.Booking Confirmation:

   - When booking your staff portrait session, you will need to select the number of staff to be photographed. The number of staff booked is not changeable after the booking is made, so please ensure that the correct number of staff members is selected at the time of booking.

 

2. Staff No-Shows or Changes:

   - If fewer staff members show up on the day of the session than originally booked, the full session fee will still apply for the original number of staff booked. This is because the photographer’s time and resources are allocated based on the initial booking.

 

3. Payment:

A credit card is required to make a booking. Bookings are payable by card (Visa, MasterCard, or Amex, Apple Pay, Google Pay) and can be paid online or in person.

 

4. Session Duration:

   - The session duration will depend on the number of staff members booked. A general guideline is 15-20 minutes per staff member, but this may vary based on the number of people and the specific needs of the session.

 

Cancellation and Rescheduling:

5.  Cancellations more than 7 days prior to the scheduled shoot date do no incur a charge. Cancellations or changes between 7 days and 48 hours of the shoot date will be charged 50% and Changes and cancellations with in 48 hours will be charged 100% of the booking total.

 

6. Late Arrivals:

   - Please ensure all staff members arrive on time for their scheduled session. Late arrivals may result in a reduced session time, and we may not be able to extend the session beyond the originally scheduled time.

 

General Information:

7. Location: The session will take place at your preferred on-location venue. Any travel required outside of the designated area may incur additional fees, which will be agreed upon prior to booking.

8. Client Conduct: Staff members should be dressed and ready to start their session at the scheduled time. Please ensure that they are prepared for the shoot and have appropriate attire for professional portraits.

9. Studio Rules

   - The photographer will require a clean, quiet, and well-lit space to set up and conduct the portrait session.

   - Please ensure that the space is free from disruptions during the scheduled shoot time (e.g. meetings, walkthroughs, construction noise).  

   - The client is responsible for securing any required access permissions or security clearances for the photographer at the location.  

 

10. Image Delivery:

   - Edited digital portraits will be delivered within 10 business days of the shoot via a secure online gallery.  

   - Standard delivery includes basic retouching (colour correction, skin tone balancing, background clean-up). Any advanced retouching (e.g., facial edits, wardrobe fixes, composite requests) may incur additional charges.  

   - Final image selections must be made by the client within 14 days of gallery delivery. If selections are not made within this period, the photographer will deliver best-in-series images at their discretion.  

 

11. Usage and Licensing:

   - Images are licensed to the client for internal company use, including websites, business profiles, internal directories, and promotional materials.  

   - Third-party or commercial use (e.g. external advertising campaigns, reselling) may require an extended license and must be discussed in advance.  

   - The photographer retains copyright of all images and may use them for portfolio and promotional purposes unless the client requests a written non-disclosure agreement (NDA) in advance.

 

12. Weather and Environmental Conditions (for Outdoor Locations): 

   - If the session is booked in an outdoor setting, the client is responsible for having a weather backup plan.  

   - In cases of inclement weather, the session may be rescheduled at no charge if rescheduled more than 24 hours in advance.  

   - If the photographer deems conditions unsafe or unsuitable for shooting on arrival, the session may be postponed or adapted to an indoor location.

 

13. COVID-19 or Health-Related Cancellations.  

   - In the event of illness or exposure to infectious disease (including COVID-19), the client must notify the photographer as soon as possible.  

   - If rescheduling due to health concerns is required, fees will be waived provided notice is given at least 24 hours in advance.  

   - The photographer reserves the right to reschedule if experiencing symptoms or after a known exposure to protect all parties.

 

14. Equipment and Property Liability: 

   - The client is responsible for ensuring a safe environment for equipment setup. Any damage to equipment caused by client negligence or unsafe conditions may be billed to the client.  

   - The photographer is fully insured for public liability up to $20 Million AUD; a certificate of currency can be provided upon request.
